Electronic Transcript Service - Business or Organization Instructions
Current and former UTSA students now have the ability to electronically send businesses and organizations official transcripts through the secure eSCRIP-SAFE server network. This method of delivery is the quickest and most secure method to obtain an official UTSA transcript.
A current or former UTSA student attempting to send your organization an electronic transcript will need the direct email address and title of the person receiving the official transcript (the recipient). Once received, the transcript can be tested for authenticity, printed, and/or saved electronically. Instructions for these actions are below.
Please note that paper copies of transcripts are still available and can be requested by current and former UTSA students if required by your organization.
What you will receive
When the e-transcript has been sent, you will receive an email from eSCRIP-SAFE containing a secure link to access the official e-transcript. Click on that link to view the official transcript.
If you have not received the e-transcript within 30 minutes of the student's submission, you should check your SPAM or Junk Mail folder to make sure the email was not intercepted by the filter.
Viewing a Transcript
In order to view the e-transcript, Adobe Reader 7.0, or higher, must be installed on your computer.
Click on the eSCRIP-SAFE secure link within the email within 14 business days of receipt. If not viewed during that period, another e-transcript must be requested by the student.
A window will automatically display asking the recipient to verify their identity by providing their name, organization, and creating a passcode. The recipient will also be asked to indicate their purpose for receiving the transcript.
Once the verification process is complete the recipient will be asked to confirm the information provided and click the "Complete" button.
The recipient will then be taken to the download screen. By clicking on the "Download Transcript" button, a PDF window will automatically display the official transcript on the screen.
The transcript will continue to be available for only 24 hours after its initial viewing. After 24 hours the transcript will be deleted from the eSCRIP-SAFE server.
During the 24 hour period, the transcript can be viewed an unlimited number of times by clicking on the link in the email. The recipient will be prompted to enter the passcode created during the verification process each time the electronic transcript is accessed. You can also save the e-transcript PDF file locally, print it out locally, or do both, in order to keep it longer than 24 hours.
Saving a Transcript
You have three options to retain the transcript. Note that no changes can be made electronically to a PDF document.
Save electronically as a PDF document
Once the PDF has been opened, use the save function.
Click "File" and then select "Save as Copy" and select a location to place the transcript copy.
Print to paper by clicking on the printer icon on the upper left side of the screen. The transcript can also be printed by Clicking "File" and then selecting "Print".
Once a document has been printed, it can be scanned using the organization's or institution's document imaging system.
No matter which storage method is used, the recipient must make sure the document is secure and FERPA guidelines are followed.
Testing the Authenticity of a Transcript
You can verify the authenticity of electronic transcripts by uploading the PDF document into eSCRIP-SAFE's transcript validation program, Doc-Safe.
Save the transcript as a PDF (see instructions above).
Click on the following link: https://escrip-safe.com/validate/transcript
Click on the browse button.
Once the window is displayed select the transcript from the location it was saved at. Click on "Open".
The transcript file will appear in the space next to the "Browse" button.
Click on "Validate" the validation results will appear and can be printed if needed.
