Electronic eSCRIP-SAFE Transcript

The University of Texas at San Antonio's Office of the Registrar is pleased to offer electronic transcripts (e-transcripts) to all of our students. In partnership with SCRIP-SAFEĀ®, UTSA is now able to provide official transcripts delivered electronically through the "eSCRIP-SAFE" server network.

The content of the official transcript is converted into a PDF document and is stored on a secure server via eSCRIP-SAFE. A secure link to the e-transcript is sent to the individual, business, industry, college or university identified by the student. The recipient receiving this secure link can perform an instant test to verify the authenticity of the student's e-transcript.

This is the most secure and the quickest method to deliver an official transcript. The student should make certain that the recipient is willing to receive an official e-transcript first, then enter the recipient's name, title, and direct email address.

Students - information for senders of transcripts

Important notes about the electronic eSCRIP service:

  1. Inform the recipient of your transcript that you intend to send them an e-transcript before you proceed. This will help prevent your transcript from being ignored or deleted as SPAM.
  2. Although the University provides official electronic transcripts, some recipients may require official paper transcripts. Please confirm that the recipient accepts official electronic transcripts prior to submitting the official electronic transcript request.

Sending/Submitting the Electronic eScripTranscript

E-transcripts requested are processed within minutes on a 24 hours a day, 7 days a week schedule. Once processed, the e-transcript is immediately sent to the designated recipient. Please note that during busy periods such as early registration, end of term grade processing, etc., e-transcript processing may be delayed as system resources could require redirection for other priorities.

What the student will receive

After submitting your request, you will receive two notification emails (sent by eSCRIP-SAFE) when the e-transcript:

  1. Has been sent to the recipient via the email provided in ASAP
  2. Has been opened by the recipient

Please note that the notifications will be sent to your preferred email address on file here at UTSA. To change your preferred email address, go to ASAP.

If you do not receive the first email notification within one business day, you should make sure the notification was not intercepted by a spam filter.

What the recipient will receive

When the e-transcript has been sent, the transcript recipient will receive an email containing a secure link to access the official e-transcript. The email will be sent by eSCRIP-SAFE.

The recipient will have 14 business days to view the official transcript. If not viewed during that period, another e-transcript must be requested by the student. Once viewed by the recipient, the transcript will remain available for 24 hours before being deleted from the eSCRIP-SAFE server. The recipient can save the e-transcript PDF file locally or print it out locally or do both.

Recipients who seem to have not received the e-transcript should check their spam folder to make sure the email was not intercepted by their spam filter.

Saving a Transcript

In order to view the e-transcript, Adobe Reader 7.0, or higher, must be installed on the recipient's computer.

The recipient has three options to retain the transcript:

  1. Save to the institution's document imaging system
  2. Save electronically as a PDF document
  3. Print to paper

No matter which storage method is used, the recipient must make sure the document is secure and FERPA guidelines are followed.

Businesses / Organizations - information for those receiving transcripts

Current and former UTSA students now have the ability to electronically send businesses and organizations official transcripts through the secure eSCRIP-SAFE server network. This method of delivery is the quickest and most secure method to obtain an official UTSA transcript.

A current or former UTSA student attempting to send your organization an electronic transcript will need the direct email address and title of the person receiving the official transcript (the recipient). Once received, the transcript can be tested for authenticity, printed, and/or saved electronically. Instructions for these actions are below.

Please note that paper copies of transcripts are still available and can be requested by current and former UTSA students if required by your organization.

What you will receive

When the e-transcript has been sent, you will receive an email from eSCRIP-SAFE containing a secure link to access the official e-transcript. Click on that link to view the official transcript.

If you have not received the e-transcript within 30 minutes of the student's submission, you should check your SPAM or Junk Mail folder to make sure the email was not intercepted by the filter.

Viewing a Transcript

In order to view the e-transcript, Adobe Reader 7.0, or higher, must be installed on your computer.

  1. Click on the eSCRIP-SAFE secure link within the email within 14 business days of receipt. If not viewed during that period, another e-transcript must be requested by the student.
  2. A window will automatically display asking the recipient to verify their identity by providing their name, organization, and creating a passcode. The recipient will also be asked to indicate their purpose for receiving the transcript.
  3. Once the verification process is complete the recipient will be asked to confirm the information provided and click the "Complete" button.
  4. The recipient will then be taken to the download screen. By clicking on the "Download Transcript" button, a PDF window will automatically display the official transcript on the screen.
  5. The transcript will continue to be available for only 24 hours after its initial viewing. After 24 hours the transcript will be deleted from the eSCRIP-SAFE server.
  6. During the 24 hour period, the transcript can be viewed an unlimited number of times by clicking on the link in the email. The recipient will be prompted to enter the passcode created during the verification process each time the electronic transcript is accessed. You can also save the e-transcript PDF file locally, print it out locally, or do both, in order to keep it longer than 24 hours.

Saving a Transcript

You have three options to retain the transcript. Note that no changes can be made electronically to a PDF document.

  1. Save electronically as a PDF document
    • Once the PDF has been opened, use the save function.
    • Click "File" and then select "Save as Copy" and select a location to place the transcript copy.
  2. Print to paper by clicking on the printer icon on the upper left side of the screen. The transcript can also be printed by Clicking "File" and then selecting "Print".
  3. Once a document has been printed, it can be scanned using the organization's or institution's document imaging system.

No matter which storage method is used, the recipient must make sure the document is secure and FERPA guidelines are followed.

Testing the Authenticity of a Transcript

You can verify the authenticity of electronic transcripts by uploading the PDF document into eSCRIP-SAFE's transcript validation program, Doc-Safe.

  1. Save the transcript as a PDF (see instructions above).
  2. Click on the following link: https://escrip-safe.com/validate/transcript
  3. Click on the browse button.
  4. Once the window is displayed select the transcript from the location it was saved at. Click on "Open".
  5. The transcript file will appear in the space next to the "Browse" button.
  6. Click on "Validate" the validation results will appear and can be printed if needed.
