Dear Colleagues,

Soon we will be welcoming approximately 5,000 new students to UTSA!  A special thanks to all of you who have worked so hard assisting students with admissions, enrollment and financial aid issues over the last several weeks. We anticipate another record enrollment this year.

We also thank those staff members who have been preparing for Roadrunner Days. We’ve included the schedule in this newsletter and hope that you can attend many of the events as we welcome the newest members of the UTSA community.

Thanks to everyone for preparing us to get the new year off to a great start!

Roadrunner Days video promos coming to UTSA TV and UTSA Today

Students will soon see two new promos for Roadrunner Days on the TVs around campus.  Streaming videos on UTSA Today also will promote Roadrunner Days attendance.  Thanks to Stephen Matthews and Ernest Hernandez in Distance Learning for their time and talent in producing them.

 Important End of Fiscal Year Deadlines Approaching

Travel Office

 FRIDAY, AUGUST 25TH- ALL manual travel vouchers or electronic VP5 travel vouchers, using FY 05/06 funds must be submitted to the Travel Management Office by 5:00PM this date to be included in the August statement of account (SOA).

TUESDAY-AUGUST 29TH- ALL electronic VP2 travel vouchers must be in the Travel Management Office by 5:00PM this date to be included in the August statement of account (SOA). Please make sure that these documents include all proper support documentation.

THURSDAY-AUGUST 31ST- ALL FY 05/06 travel encumbrances will be cancelled.

SEPTEMBER 1, 2006-HAPPY NEW YEAR!!!!

WEDNESDAY-SEPTEMBER 6TH- ALL travel payment vouchers, manual, and electronic (VP2’s & VP5’s) must be in the Travel Management Office by 5:00PM to be paid using FY 05/06 funds. This would also include any vouchers previously submitted in FY 05/06 that we might have returned to you for lack of proper documentation. Please remember to submit with proper support documentation.

Travel expenses not paid yet must be recorded as Payables by this date. An example of this might be any CBA airfare or car rental expenses that you know were incurred in FY 05/06; however you have not paid yet. Typically the JP Morgan Chase credit card statement is not received until the 10th of the month. This means that expenses incurred during the month of August with JP Morgan Chase, will not show up until you receive your statement on the 10th of September. Although it will be too late at this time to pay them using FY 05/06 funds, these amounts must be recorded as Payables by the Office of Accounting. If you are aware of any amounts such as this, please submit an e-mail to Perry at Perian.Griner@utsa.edu or Deby at Deby.Bailey@utsa.edu. We will see that these amounts are sent to the Office of Accounting to be recorded.
