Job Description

Provide administrative and supervisory skills in the management of the student records for the Office of the Registrar and to coordinate Student Affairs Operations at the downtown campus.

 

Responsible for overseeing the daily operation of the Registrar functions at UTSA Downtown and to provide necessary support and coordination in response to student issues, concerns and emergencies for student affairs operations with the Vice Provost of the downtown campus.

 

Background

I have served in many capacities in the Office of Admissions and Registrar, later in the Office the Registrar; as the Assistant to the Director of Admissions and Registrar, Assistant Registrar, Associate Registrar, Director of Registrar Operations Downtown and currently as the Executive Director Downtown Student Affairs Operations. I began my affiliation with the university in May 1973 just in time to help enroll the first class of graduate students and have begun my 34th year of employment with the Registrars Office this year. My primary duties over the largest part of my career was to work toward the development of a student information and records system that would provide the most effective service for our students, faculty, and administration of the university. Also to develop a records reporting system in support of the administrative functions of the university that is consistent, reliable and accurate.

 

Experience

Over 33 years on continuous service in the registrars office and with student affairs in various capacities and in leadership roles in professional organizations to assist students, faculty and administrative staffs to develop processes and procedures that are adaptive, flexible and resilient so that mutual learning takes place and that students can achieve their academic goals.

 

Describe your job 

Provide leadership and coordination for all Student Affairs operations on the downtown campus. Facilitate communication and oversight for Student Affairs Offices on the downtown campus and to work with downtown directors, associate deans, and other university officials to coordinate appropriate policies and procedures that apply to Student Affairs Programs. Oversee the records functions of the student information system as it relates to student grades, academic history, transcripts, verification of enrollments, registration for UTSA and the UT Telecampus which offers web based courses to students on this and other campuses throughout the UT System. I meet with and counsel students as appropriate concerning matters of enrollment, certifications, grades, requirements for degrees and graduation.

 

What is the most unusual job related case you have worked on?  

One of the most challenging aspects for anyone in the registrar profession is implementation of student information systems that structure and drive administrative processes; during my tenure I have been involved with three implementations that are critical in response to advancements in information software and technology and to the university’s increased enrollment.

 

What job skills to you use most often? 

Be flexible, use past experience as a guide in resolving issues, see problems and concerns as opportunities and try whenever possible to remove stress from issue of concern in working with students. Understand university policies and business practices across boundaries. Rely on the good will of colleagues in seeking solutions to problems for students, faculty and university administrators.

 

How do you unwind? 

Reading, walking, annual family vacations to the Texas coast, keeping up with New Yorker Magazine Cartoons and following speeches made by Bill Moyers.

 

What advice would you give to other Student Affairs staff?

Organizations that are successful and compete successfully must be agile, nimble, flexible and resilient. As student affairs professionals we need to work collaboratively to develop new and adaptive processes that meet the needs of our students and our universities. In our leadership roles we need to develop a capacity to respond continuously to change. Consider, change as a real organizing force that we will have to use as a way to create new initiatives, goals and mission.
