University Fleet Services Program Modernizes, Introduces Strategic Changes

Important updates have been made to the UT San Antonio Fleet Program, designed to modernize vehicle management practices and better align them with the university’s operational and strategic priorities. These changes reflect a university-wide effort to improve transparency, clarify departmental responsibilities and enhance service delivery while ensuring continued compliance with state and university policies. 

One of the most significant updates involves vehicle acquisition. Departments now have greater support in evaluating procurement options, including leasing through UT San Antonio’s established partnership with Enterprise. This approach offers flexibility, cost savings and streamlined processes, giving departments the tools they need to make the best decisions for their specific operational needs. 

Vehicle maintenance has also undergone important changes. As of Sept. 1, UT San Antonio no longer provides on-site licensed vehicle maintenance. Departments will coordinate off-site service, with Fleet Management providing guidance and support throughout the process. This change allows for broader service options and helps ensure vehicles are maintained efficiently, reliably and in a timely manner.

The driver authorization and safety oversight policies and processes are being strengthened through new resources and systems. University vehicle operators now have the ability to submit required authorization documentation in a UT System-supported information management platform. Additionally, accident reporting information is now easily accessible through the new centralized Fleet Services webpage, which consolidates forms, policies and procedures into one convenient location. 

Fleet Services policies have been reformatted by role for clarity, and the newly established Fleet Oversight and Advisory Committee will provide ongoing strategic guidance. This committee will ensure policy alignment with UT San Antonio’s mission and champion initiatives that promote safety, efficiency, and sustainability. 

Together, these changes are designed to strengthen stewardship across the university, improve operational transparency and reduce long-term costs while reinforcing the university’s commitment to safety and service.
